Overview. This Privacy Policy explains how Ivora Solutions Inc. (“Ivora,” “we,” “us,” or “our”) collects, uses, discloses, and retains Personal Information through our website, webstore, business communications, charging hardware, hosted charging-station management services, customer portals, site-selection and analytics platform, optional payment functionality, support, warranty, and related services (collectively, the “Services”).

Manufacturer relationship. Ivora is an authorized, independent reseller of certain charging Hardware manufactured by Renova Electronics Inc. (“Renova”). Ivora may coordinate product fulfillment, technical support, warranty, repair, replacement, safety investigation, recall, certification, and regulatory matters with Renova and its authorized service providers.

Business customers. Our Services are primarily offered to businesses and other legal entities. When we process Personal Information solely on behalf of a business customer through the Services, that customer may determine the purposes and means of the processing and is responsible for notices, permissions, and requests relating to its Authorized Users, employees, tenants, guests, drivers, or other individuals. In that context, Ivora acts as a service provider or processor to the extent provided by applicable law and the parties’ agreement.

Meaning of Personal Information. “Personal Information” means information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked with an individual or household. It does not include information that applicable law treats as public, aggregated, or de-identified.

1. INFORMATION WE COLLECT

1.1 Depending on how you interact with Ivora, we may collect the following categories of Personal Information:

Information we generally do not seek

1.2 We do not ask individuals to provide Social Security numbers, government identification, medical information, biometric identifiers, or other highly sensitive information through ordinary website, charger, or support interactions. A payment processor may request identity or tax information directly from a business account owner for verification, underwriting, sanctions screening, or payout purposes.

1.3 Please do not submit sensitive Personal Information through free-text fields, support messages, or uploads unless Ivora specifically requests it through an approved secure process.

2. HOW WE COLLECT INFORMATION

2.1 We collect Personal Information: (a) directly from you when you contact us, request a quote, place an Order, create an account, configure the Services, submit candidate Site information, request a site assessment or report, request support, or submit a Warranty or return claim; (b) from Customer administrators and other authorized business representatives; (c) automatically from websites, portals, Hardware, cookies, logs, OCPP communications, and connected systems; (d) from service providers such as payment processors, carriers, hosting providers, communications providers, and security vendors; and (e) from Renova, other manufacturers, suppliers, installers, utilities, and other parties when needed to fulfill an Order, provide support, investigate a product or safety issue, or comply with law.

3. HOW WE USE PERSONAL INFORMATION

3.1 We may use Personal Information to:

  • provide, operate, configure, commission, support, secure, maintain, and improve the Hardware and Services, including site-selection maps, site assessments, analytics, forecasts, rankings, and reports;
  • create and administer accounts, authenticate users, manage permissions, and prevent unauthorized access;
  • prepare quotes, accept and fulfill Orders, ship products, invoice, collect payment, process payouts, manage subscriptions, refunds, returns, chargebacks, warranty claims, and support requests;
  • coordinate with Renova, other manufacturers, warehouses, carriers, installers, and service providers concerning fulfillment, technical support, diagnostics, warranty, repair, replacement, product safety, field corrective action, recall, certification, and regulatory matters;
  • monitor charger status, charging sessions, connectivity, errors, safety, performance, firmware, maintenance, and Service usage;
  • communicate about transactions, service changes, maintenance, security, legal updates, and customer support;
  • send business marketing communications where permitted and honor opt-out requests;
  • analyze performance, develop new features, conduct quality assurance, create aggregated or de-identified information, and improve operations;
  • detect, investigate, and prevent fraud, abuse, security incidents, unlawful activity, safety risks, and violations of our agreements;
  • comply with law, tax, accounting, sanctions, export, legal-process, regulatory, and recordkeeping obligations; and
  • establish, exercise, or defend legal claims, complete a corporate transaction, or protect the rights, safety, property, and security of Ivora, Customers, users, and others.

4. COOKIES AND SIMILAR TECHNOLOGIES

4.1 Our website and portals may use cookies, local storage, pixels, software development kits, and similar technologies for essential operation, authentication, preferences, security, performance, and analytics.

4.2 Browser settings may allow you to block or delete cookies, but doing so may prevent account login, checkout, portal operation, or other features. Where required, we will provide a cookie preference tool for non-essential technologies.

4.3 Some browsers transmit “Do Not Track” signals. Because there is not a uniform industry standard for all such signals, our Services do not currently respond to ordinary Do Not Track signals. Where applicable law requires us to recognize a legally valid opt-out preference signal, such as Global Privacy Control, we will process it for the browser or device from which it is sent.

4.4 Other parties, including hosting, security, analytics, embedded-content, or payment providers, may collect information about your activity through their technologies when you use the website or Services. Their practices are governed by their own notices and our agreements with them.

5. HOW WE DISCLOSE PERSONAL INFORMATION

5.1 We may disclose Personal Information to the following categories of recipients for the purposes described in this Policy:

  • the Customer and its administrators, personnel, property managers, and other users authorized to manage the Customer account or Site;
  • cloud hosting, software, database, cybersecurity, analytics, communications, customer-support, identity, and information-technology service providers;
  • payment processors, banks, payout providers, fraud-prevention providers, and financial institutions;
  • Renova Electronics Inc., as manufacturer of Renova-branded Hardware, and other manufacturers, suppliers, logistics providers, carriers, warehouses, installers, electricians, and field-service providers when needed to fulfill an Order, diagnose or support Hardware, administer a return or Warranty claim, investigate an incident, address product safety or recall matters, maintain certifications, or comply with law;
  • professional advisers, auditors, insurers, lenders, investors, and financing sources subject to appropriate obligations;
  • government agencies, regulators, law enforcement, courts, and other parties when required by law or reasonably necessary to protect rights, safety, security, or property; and
  • a buyer, investor, lender, successor, or other participant in an actual or proposed merger, financing, reorganization, sale, bankruptcy, or transfer of all or part of our business or assets.

5.2 We may disclose aggregated or de-identified information that does not reasonably identify an individual, subject to applicable law and contractual restrictions.

5.3 Information provided to Renova or another manufacturer may include Customer and Site contact information, Order and shipment details, product model and serial number, installation and commissioning records, configuration, telemetry, diagnostics, logs, photographs, support communications, Warranty and RMA history, and incident or safety information. Renova and other recipients process information under their own legal and contractual obligations.

6. SALE, SHARING, AND TARGETED ADVERTISING

6.1 Based on our current practices, Ivora does not sell Personal Information for monetary consideration and does not share Personal Information for cross-context behavioral advertising. We do not knowingly sell or share the Personal Information of individuals under 16.

6.2 If our practices change, we will update this Policy and provide any notice and opt-out mechanism required by applicable law before using Personal Information in the new manner.

7. PAYMENT PROCESSING

7.1 All monetary transactions and payment information are processed exclusively through third-party payment gateways (e.g., Stripe). Ivora does not collect, store, or process full credit card numbers or sensitive financial authentication data on its servers. Ivora shall not be held liable for payment gateway interruptions, account holds, or security breaches occurring on third-party payment platforms.

7.2 Customer is responsible for providing required notices to drivers or other individuals when Customer enables public or fee-based charging and for configuring pricing, receipts, refunds, and payment access in compliance with applicable law.

8. BUSINESS CUSTOMER DATA AND DRIVER INFORMATION

8.1 Customer controls which Authorized Users may access its account and which driver identifiers, access credentials, vehicle information, pricing, and charging-session information are collected through Customer’s charging operation.

8.2 Customer shall provide all notices and obtain all permissions required for Ivora to process Personal Information on Customer’s behalf. Individuals seeking to exercise rights concerning data controlled by Customer should generally contact Customer first. We may refer a request to Customer and assist Customer as required by the Agreement and applicable law.

8.3 Ivora may independently use account, transaction, security, support, and operational information for its own legitimate business purposes described in this Policy, including billing, product security, legal compliance, fraud prevention, and improvement through aggregated or de-identified data.

9. DATA RETENTION

9.1 We retain Personal Information only for as long as reasonably necessary for the purposes described in this Policy, including to provide Services, complete transactions, maintain security and records, comply with tax and legal obligations, resolve disputes, enforce agreements, and support Warranty, safety, and product-recall needs.

9.2 Our typical retention periods or criteria are listed below. Actual periods may be longer where required by law, litigation hold, safety investigation, fraud prevention, contract, or a Customer instruction that we are legally permitted to follow.

Marketing recordsUntil you unsubscribe or we determine the information is no longer useful, while retaining a suppression record as needed to honor your choice.

10. SECURITY

10.1 We use administrative, technical, and physical safeguards designed to protect Personal Information based on its nature and the risks involved. These measures may include access controls, authentication, logging, vendor review, encryption in transit where appropriate, backups, and incident-response procedures.

10.2 No system, transmission, or storage method is completely secure. Customer and Authorized Users are responsible for maintaining secure credentials, limiting account access, configuring networks and Hardware securely, applying updates, and notifying us promptly of suspected unauthorized access.

11. YOUR CHOICES

11.1 Account information. You may review or update certain account information through the Services or by contacting your Customer administrator or Ivora.

11.2 Marketing. You may opt out of marketing emails by using the unsubscribe link or contacting us. We may continue to send transactional, support, security, legal, and account communications.

11.3 Cookies. You may use available cookie controls and browser settings, subject to the limitations described above.

12. CALIFORNIA AND OTHER U.S. PRIVACY RIGHTS

12.1 Depending on where you reside and whether a privacy law applies to Ivora and the relevant processing, you may have rights to request access to or knowledge of Personal Information; correction; deletion; a portable copy; information about sources, purposes, and recipient categories; opt out of sale, sharing, or targeted advertising; limit certain uses of sensitive Personal Information; appeal a decision; and receive equal service without unlawful discrimination.

12.2 To submit a request, use one of the methods in Section 17. Please describe the request and provide information reasonably necessary to identify the relevant account and verify your identity and authority. We may decline or limit a request where permitted by law, including when we cannot verify it, the information is exempt, retention is required, or fulfilling the request would adversely affect another person’s rights.

12.3 An authorized agent may submit a request where permitted by law. We may require proof of authority and may verify the request directly with the individual.

12.4 We will respond within the time required by applicable law. Where a request concerns Personal Information that we process on behalf of a Customer, we may direct the request to Customer or coordinate our response with Customer.

13. CALIFORNIA CATEGORY DISCLOSURE

13.1 During the preceding twelve (12) months, we may have collected and disclosed for business purposes the categories described in Section 1, including identifiers; customer records and contact information; commercial information; internet or electronic-network activity; approximate or Site-related geolocation information; professional information; account credentials and limited financial information; and inferences derived from operational and security information. We disclose those categories to the recipient categories listed in Section 5 for the purposes listed in Section 3.

13.2 Based on current practices, Ivora has not sold those categories for monetary consideration or shared them for cross-context behavioral advertising during the preceding twelve (12) months.

14. CHILDREN

14.1 The Services are not directed to children under 13, and we do not knowingly collect Personal Information directly from children under 13. If you believe a child has provided Personal Information to us, contact us so we can evaluate and, where appropriate, delete it.

15. THIRD-PARTY LINKS AND SERVICES

15.1 The website or Services may link to or integrate with third-party websites, processors, portals, roaming platforms, manufacturers, or other services. Ivora is not responsible for their independent privacy, security, or content practices. Review their notices before providing information directly to them. This statement does not limit Ivora’s obligations for Personal Information that Ivora controls or processes under applicable law.

16. CHANGES TO THIS POLICY

16.1 We may update this Policy to reflect changes in law, technology, Services, or business practices. We will post the updated version with a revised effective date and provide additional notice of material changes where required. Unless stated otherwise, the updated Policy applies prospectively when posted.
